Image and Video Collection and Usage Policy

At AMPP, Association for Materials Protection and Performance, ("we," "us," or "our"), we take your privacy seriously, especially concerning the images, video and media we collect. This Image and Video Collection Policy outlines our approach to collecting, obtaining consent, and using images.

1. Types of Image and Video Collection

We may collect photographs, video recordings, and other visual media in the following ways:

Voluntary Submissions
Individuals may voluntarily submit images and videos to us. This can include images of themselves working in the industry, attending our events, or participating in related activities, such as chapter events. In such cases, individuals provide explicit consent by submitting these images along with a signed Image and Video Release Form granting AMPP permission to use these images for marketing, editorial, educational, or other organizational purposes consistent with AMPP’s mission.

Event Photography and Video Recording
When individuals attend events organized or hosted by AMPP, including but not limited to conferences, chapter events, meetings, and AMPP-hosted education courses, photographs and/or audio and video recordings may be captured by AMPP or its authorized representatives.

These images and recordings may be used for purposes such as:

  • Event promotion
  • Marketing and communications
  • Publications and editorial content
  • Educational materials
  • Website and social media content
  • Historical documentation of AMPP events

Notice of photography or video recording may be provided through event registration materials, event signage, or other communications. By attending AMPP events, participants acknowledge that photography and video recording may occur and grant AMPP permission to use such media as described in this policy and any event-specific disclosures.

If an individual prefers not to appear in images or recordings, they may notify event staff or contact AMPP at customersupport@ampp.org. While we cannot guarantee that all images can be removed from public or archival materials, AMPP will make reasonable efforts to honor such requests where feasible.

2. Our Commitment: Not Distributing Images without Consent to Unrelated Third Parties for Marketing or Commercial Purposes
We want to emphasize that we are committed to respecting your privacy and ensuring that your images are not distributed to unrelated third parties. Images and videos may be shared within AMPP and its affiliated organizations, subsidiaries, publications, programs, and initiatives for marketing, editorial, educational, or promotional purposes consistent with AMPP’s mission. We do not sell or distribute collected images to unrelated third parties for marketing or commercial purposes.

3. Promotional Templates for AMPP Annual Conference + Expo

As part of promoting the AMPP Annual Conference + Expo, AMPP may provide exhibitors, sponsors, speakers, and attendees with promotional social media templates designed to help them promote their participation in the event.

These templates may include photographs or images captured at previous AMPP events, which may contain recognizable individuals in attendance. Such images are used by AMPP in accordance with the event photography practices described in Section 1 of this policy.

The templates are provided solely to support the promotion of participation in the AMPP Annual Conference + Expo. Exhibitors, sponsors, speakers, and attendees may use these templates only to promote their presence at the event (for example, announcing that they are exhibiting, sponsoring, speaking, or attending).

The images contained within these templates remain the property of AMPP and are not sold, transferred, or licensed for independent commercial use. Templates and associated images may not be reused, redistributed, or repurposed for unrelated marketing, commercial, or promotional activities.

4. Consent and Control

We value your control over your images. You have the right to request the deletion of your images and withdraw your consent for image usage at any time, subject to applicable legal requirements. Please contact us at customersupport@ampp.org to discuss your preferences or make changes to your consent.

5. Security and Protection

We take appropriate measures to protect the security and integrity of the images we collect. While we employ stringent security practices, we cannot guarantee absolute security, as no method of transmission over the internet or electronic storage is entirely secure.
